The 2 attachments are the list of duties that need to be covered at all the shows and a proposed list of which clubs will be responsible for running which event.
Club Job Rota 2012
jobs at shows
This system has worked well at the winter dressage and the winter SJ and will be implemented this year.
As an example at the summer SJ show at REC Northallerton and Eldwick are shown as the clubs that will organise and run the show. That means they will between them organise the office, putting up and taking down of all the arenas, organise arena parties etc. etc.
Please read them, look at what you have to do and then start to liaise with the other clubs and organise yourselves. I propose that at the meeting on Monday (30th Jan) we all agree which of the clubs takes on the role of the Point of Contact.
Can you also look at the job list to see if I have missed anything off. It may well be that we do not have to do all the jobs but it is best to have then shown ad then cross them off in the 1st instance for example REC always do the car parking.
Once your club has done that event (except when XC is involved when you will have to send 2 FJ for the duration) you will not be required to do another job this year.
There are a minimum of 2 clubs for each event so that the workload is shared and I think I have accounted for every club in the area. As the 1DE is going to be a very long day I have shown 5 clubs with ARea 2 assisting, Darrowby please note that I have put you down to help at the 1DE I know you helped at the winter dressage and hope that with this experience you will be of great assistance at this event.
Before anyone moans and says that they have to travel or that their membership is down on last year or that they can not ask their members to be there all day or X..Y…Z… please look at what you have to provide. If there are clubs that want to do a mutual swop then let me know, if your cub has a valid and genuine reason as to why you can not do the event please let me know.
I know that this is short notice for you to discuss it with your clubs committee but it is time to take some responsibility for the organisation of our qualifiers.
I already know that Silsden can not make the meeting but if there are any others will you let me know.
As of Dec this year it will be compulsory to start paying £1 per horse plus the travelling for the dressage judges, rather than put the entry fees up we need to look at ways of saving money. About 18 months ago 2 clubs did some in depth research into getting our own radios but we never went any further. I will resurrect their reports, cost them up and bring it to the meeting on Mon where we will make a definite decision whether to purchase.
Area 4 managed to obtain the 5 places for the Steward Training weekend, apparently it was over subscribed causing HQ to ballot, therefore Mary, Jann, Margaret, Sharon and myself will be attend the training the weekend after the indoor S.J. so if you want us to raise any topics then please let us know on Monday. Training in hat tagging will be the hot topic and how we will do it before the qualifiers might need to be discussed I think that between the 5 of us we may need to come to your club shows where we can tag them prior to the qualifiers as I think this will have a knock on event with the RC insurance, i.e. if you are running a club event and an accident occurs was the rider wearing a hat that was suitable.
Thanks and cheers Richard.
